POSITION: Program Assistant, Community Security Initiative

BARGAINING UNIT GRADE 10A / NON-EXEMPT
GRADE 10A RANGE: $49,120 to $72,241 Budgeted Salary Range: $52,000 - $54,000
SUMMARY DESCRIPTION OF POSITION
Reporting to the CSI Operations Manager, the Program Assistant provides accurate, timely, and effective administrative, secretarial and project support functions for the Community Security Initiative program.
PRINCIPAL DUTIES
• Provide administrative support and general assistance as needed to the Community Security Initiative program and department heads as assigned by the CSI Operations Manager.
• Assist with maintaining CSI databases and other internal security platforms, which includes community outreach to CSI partner institutions.
• Work with program staff to help coordinate meetings and events, including logistics, food ordering, and setup.
• Vet participant names and process announcements for training/special events and registration confirmations.
• Coordinate internally with Federation personnel for special events catering, conference room setup, printing material, and guest access.
• Assist with reviewing department budgets and track spending for all departments within the program.
• Responsible for maintaining up-to-date inventory and submitting purchase orders for office supplies, promotional material, training kits, and catering for training/special events.
• Assist in designing and creating promotional material, and coordinating with vendors accordingly.
• Maintain various individual and department calendars on an as needed basis, and other job duties related to the position.
• Assist with program projects; must have skills and flexibility to assist various departments within program.
ADDITIONAL DUTIES
Be available to professional staff for additional assignments as needed. Other duties may be assigned as needed including assisting with the Campaign. Be available for events and meetings outside normal working hours.
EDUCATION & EXPERIENCE REQUIRED FOR POSITION
• BA or equivalent preferred. At least 2-3 years of responsible administrative or related experience.
• Must have excellent organizational, interpersonal, and communications skills, both verbal and written.
• Attention to detail and familiarity with database systems.
• Must be proficient in Microsoft Office.
• Graphic design or visual content creation experience a plus.
• Must have excellent interpersonal and communications skills, both verbal and written.
• Must be able to work well in a very busy and fast paced environment, be adaptable, and able to shift priorities.
• Knowledge of Jewish life and the Los Angeles Jewish Community a plus.
• A hybrid work model will be implemented for certain positions. This position must report to worksite on non-remote workdays, as determined by the Federation.
